Business Correspondence: Positive Messages (Good News)

Topic & Purpose: 

Positive (or good) messages in the business/professional world can include the following: acceptance letters, promotion letters, FYI memos that contain good news, a congratulatory email, etc. 

Organization of a Positive (Good News) Message:

  • Share the positive news, first.
  • Provide reasons.
  • Address any negatives.
  • Close on a positive, forward-looking tone.

Instructions: 

You will create a positive (good) message; be sure to carefully consider your purpose and audience for your message. Put yourself in the place of the reader to help decide your approach and the best way to inform and influence the reader. Use the suggestions in the chapters we have covered so far to prepare the most effective documents.

Depending on the audience and purpose, you will create either a letter, a memo, or a professional email. Your message should be as long as necessary to accomplish the required purpose, but is expected to have a length between one to two pages. 

Part of the assignment will involve creating a scenario to address the particular kind of message being written. In other words, you will choose the type of good news message, i.e., an acceptance, a promotion, a raise, job offering, etc., and you will choose what type of genre to use to convey said message, via a memo, a letter, or a professional email. 

For this assignment, you must provide the following: 

  • The document As noted above, you will create a memo, letter, or a professional email; however, this will depend on the scenario, i.e., audience and purpose. It must be a message to the specific recipient (audience) and convey the positive (good news) message. 
  • A 1 page response that explains the following information: 
    • Who is the document for (audience) and why (what is its purpose)? In other words, you are providing the context for your good news document. 
    • Explain why you chose to create either a memo, a letter, or a professional email. In other words, why was that particular document the most effective for the purpose? 
    • How did you conform to the formatting expectations of that document? 
    • What specific diction (language choices) did you use to convey the good news, and why? 

Grading Criteria:

This assignment will be graded according to the following criteria, including:

  • How effective the document is in accomplishing the task involved
  • How well the audience is considered
  • Correct document formatting, including diction 
  • The mechanical and grammatical correctness of the document
  • Originality and creativity applied in completing the assignment
