As a new employee, you are to help your boss plan a successful and effective meeting that will engage attendees and produce positive results by motivating them and keeping them interested.


Background:  The company you work for is a relatively new start-up, run by young people who created the companys operating concept and pride themselves in being different, even quirky, to make their work seem more like fun than drudgery.   There is no pretense here. Employees are very laid back, yet energetic and full of ideas.  Conference rooms are not numbered, but have been given names that relate to galaxies.  Old-style management would find their approach to be silly, unsophisticated and would think this odd company is unlikely to be a long-term player in the business world.  But that doesnt deter the company, its management, and its investors from following its unique culture.

It is a goal of management to keep all employees informed of the companys plans, and to encourage employees to be creative, pushing them to come up with new ideas to improve the company all the time.  That is one objective of this meeting.


The Assignment:  Sylvia Reyes, your boss, has asked you to plan all the details of the next meeting of her staff.  She wants it to follow the company culture of off-beat quirkiness, yet ensure valuable information will be delivered, understood, remembered, and that the staff will then act on what theyve learned in order to improve the companys performance

After your header, write a memo to Sylvia.  In it, tell her how you would organize every little detail of the meeting (but dont ramble), from the time of day, food or snacks that will be available, where the meeting will be held, and any team-building activities you think would be useful.  Show the steps of planning, the steps of execution of the plan, and describe exactly how you think the meeting should proceed, down to the adjournment.  Create a meeting time-line agenda and a simple budget as part of the plan. Minimize the use of I.

This is your first opportunity to impress your new boss, so you want to do a thorough job that not only gives your boss confidence in you, but that will show you understand the companys unusual culture and are willing to integrate that into your planning. You also want to assure your memo reflects your respect for her authority.  You know the budget is limited, so you will take that into consideration.  But you know your boss has a budget for meetings like this, so you understand there is some money to work with, although you dont know exactly how much. 

You know there are about eight people who report to Sylvia and each of those eight have five or six employees reporting to them, and all will be in the meeting.  Initial (with typed letters) your name at the top of the memo and date it with the due date of this assignment.  Give the company an appropriate name.

Since you are a university graduate, you know you will be expected to have precise spelling, punctuation and grammar. Once written, then re-read the assignment before submitting.
